The primary difference lies in the level of fire protection they offer. Document safes are designed to protect paper documents from fire, typically keeping the internal temperature below 350°F (177°C), which is the charring point of paper. Data safes, also known as media safes, provide a much higher level of protection, keeping the internal temperature below 125°F (52°C) and humidity below 80% to protect sensitive electronic media like hard drives, CDs, DVDs, and backup tapes, which can be damaged at much lower temperatures.
Data safes are ideal for storing any type of electronic media that is susceptible to heat and humidity damage. This includes computer backup tapes (DLT, LTO, DDS), external hard drives, USB drives, CDs, DVDs, flash memory cards, and even old film negatives or photographs. These items require the specialized fire and humidity protection that a data safe provides.
For paper documents, look for a UL Class 350 fire rating. This rating indicates that the safe has been tested to keep the internal temperature below 350°F for a specified duration (e.g., 1 hour, 2 hours) during a fire. This is sufficient to prevent paper from igniting or becoming illegible.
It is generally not recommended to store sensitive digital media in a safe rated only for paper documents, as the internal temperature may still reach levels that can corrupt data. If you need to protect both, you should either purchase a dedicated data safe for your electronic media, or a safe specifically designed and rated for both paper and data protection (often referred to as a “fire and security safe” with appropriate UL 125 and UL 350 ratings).
While not always strictly necessary for fire protection, bolting down a document or data safe is highly recommended for added security against burglary. Even if the safe itself is heavy, bolting it to the floor or a wall makes it significantly more difficult for thieves to remove the safe from your premises, thus enhancing its overall security.
